TRIP CARE – Terms & Conditions (Detailed Version)

Dear Guest,

Thank you for choosing TRIP CARE Tours. We are committed to offering safe, comfortable, and memorable travel experiences. The following Terms & Conditions outline the agreement between you and TRIP CARE. By booking with us, you accept these terms

1. Key Definitions

  • Guest(s): Person(s) booking the tour with TRIP CARE.
  • Group Tour: Tours where multiple guests share common transport, hotels, and services.
  • Customized / FIT Tour: Tailor-made itinerary for individual guests or small groups.
  • Independent Contractors: Third-party providers such as hotels, airlines, transporters, guides, etc.
  • Force Majeure: Events beyond control—natural calamities, strikes, riots, government restrictions, pandemics, etc.
  • Meal: Depending on the tour, may include breakfast, lunch, dinner, or snacks.

2. Scope of Services

  • TRIP CARE arranges and coordinates services offered by independent contractors.
  • Although we choose reliable partners, TRIP CARE is not liable for deficiencies or damages caused by third parties.
  • All itineraries, sightseeing timings, and hotel/vehicle services are subject to availability and may change due to operational or safety reasons.
  • TRIP CARE reserves the right to modify, alter, or cancel any part of the itinerary if necessary.

3. Booking Terms

3.1 Tour Confirmation

  • Booking is confirmed when the guest signs the booking form or makes an advance payment.
  • Guests must read the T&C before confirming.

3.2 Online Booking

  • Online bookings made through the TRIP CARE website imply acceptance of T&C.
  • Online disputes fall under Nagpur jurisdiction.

3.3 Payment Terms

  • Payments must be made as per the schedule shared at the time of booking.
  • Failure to make timely payments may lead to cancellation, loss of booking, or additional charges.
  • For special categories (luxury hotels, festive seasons, special trains, international flights), full advance payment may be required.

4. Tour Information & Program

4.1 Brochure/Website Information

  • Photos, sightseeing duration, panoramic views, and tour highlights shown in brochures/websites are indicative.
  • Actual experiences may vary due to weather, traffic, crowding, or local conditions.

4.2 Hotels & Transport

  • Hotels, room types, vehicles, and routes are subject to availability.
  • TRIP CARE reserves the right to provide an alternate hotel or vehicle of a similar category if required.
  • Early check-in/late check-out is subject to hotel policy.

4.3 Itinerary Changes

  • Due to safety, weather, road closures, or Force Majeure events, itineraries may be adjusted without prior notice.

5. Guest Responsibilities

  • Guests must follow local laws, customs, and instructions of the tour manager/guide.
  • Any behavior causing inconvenience, disturbance, or risk may lead to removal from the tour without refund.
  • Guests must take care of personal belongings (bags, phones, wallets, passports, etc.).
  • Any fines, penalties, or issues due to incomplete documents (passport, visa, ID proofs) are the guest’s responsibility.

6. Travel Insurance & Liability

  • Travel insurance is highly recommended and not included unless specified.
  • TRIP CARE is not responsible for:
    • Loss of personal belongings
    • Injuries, medical issues, or delays
    • Errors or negligence by third-party contractors
    • Flight delays, cancellations, or changes in airline schedules
  • Guests must cover expenses for medical treatment, hospitalization, or emergency services during the tour.

7. Cancellation Policy

All cancellations must be communicated in writing (email / WhatsApp / letter).

7.1 Charges

15–44 days 50% of total cost

7.2 Notes

  • Flight tickets, visa fees, train tickets, and insurance have separate cancellation policies.
  • Land arrangements, transport, hotels, and visas are treated as separate services.
  • Unused services (meals, hotel nights, entrance tickets, transport) are non-refundable.

8. Refund Policy

  • Refunds depend on the policies of hotels, airlines, railways, and other vendors.
  • Refunds are processed within 10 working days.
  • No interest is applicable.
  • If the tour is partially used, refunds will be only for recoverable components.

9. Liabilities & Price Variations

After tour cost is finalized, any increase in:

  • Taxes
  • Fuel surcharges
  • Entrance fees
  • Guide charges
  • Foreign exchange rates (USD, EUR, etc.)

will be charged additionally to the guest.

10. Jurisdiction

All disputes or claims fall under the exclusive jurisdiction of courts in Nagpur, Maharashtra.

11. VISA, Force Majeure & Special Situations

11.1 VISA Rejection

  • If visa is rejected, the booking is considered cancelled.
  • Standard cancellation charges apply.
  • Second visa attempt is at guest’s cost.
  • TRIP CARE is not responsible for visa delays or immigration issues.

11.2 Force Majeure

  • In cases of natural disasters, strikes, political events, or government restrictions:
    • The tour may be postponed, altered, or canceled.
    • No refund is applicable.
    • Guests may be offered alternate dates at additional cost.

11.3 Tour Termination / Misconduct

  • Guests may be removed from the tour for unsafe or disruptive behavior.
  • No refund will be provided.

11.4 No-Show

  • Failure to join the tour on Day 1 is treated as No-Show.
  • 100% cancellation applies.

11.5 Discontinuation Mid-Tour

  • Leaving the tour voluntarily is considered cancellation.
  • No refund possible.

12. Special Notes

  • Complimentary items (gifts, bags, water bottles, add-ons) are subject to availability and may change without notice.
  • Grievances must be submitted in writing within 7 days of the incident.
  • TRIP CARE ensures privacy of guest information unless required by law.
